Allocating documents to packages allows you to send out the exact documentation that your subcontractors will need to perform their job.
A document can be allocated to multiple packages within a project.
To allocate documents to packages, follow these steps:
1. Navigate to the "Manage project" page from the side menu. Select your desired project.
2. In the "Your projects" page, navigate to the "Drawings & Docs" tab.
3. Once there, click on “Package allocation” to take you to the allocation matrix.
4. You can allocate documents in multiple ways, depending on how many packages and documents you have:
Allocating a single document - click on the cell where the document that you want to allocate intersects the desired package.
Allocating all documents to a specific package - click on the square right below the desired package and it will automatically allocate all documents to it.
Allocating a folder to a package - click on the circle below the square of the desired package and it will allocate that folder to that package.
Allocating a single document to all packages - click on the circle to the right of the name of the document to allocate it to all packages.
Allocating all documents to every package - click on the "Allocate all" button to allocate all documents to all packages.
Copy and paste allocation - If you want to copy one package allocation to another then you can do so by clicking the pencil icon next to the desired package and clicking copy. Then select the package you want to paste the allocation into, click the pencil icon, and then click paste.
Include link to all documents - ticking this will send the whole of the project documentation to the invited subcontractors in a package (subcontractors will get both the package documents and the rest of the documents). We recommend leaving this option ticked, because it offers better protection as a main contractor, ensuring that you have allocated some documents to the package and that you have shared a link to the whole project documents.
Hint: Once you publish your first package you cannot tick/untick the link to all documents.
Hint: Allocating documents to draft packages will not cause any changes to them, however, if you allocate documents to published packages, you must issue an addendum so that subcontractors can see the changes. For more on addendums, click here
